1.11 Deputation to the Board

To provide the public with the opportunity to address the Board on any Thunder Bay Public Library topic, provided that they make a written request.

Any member or members of the public wishing to make a deputation to the Library Board.

A person or organization wishing to make a deputation to the Library Board shall satisfy the provisions set out below:

1. Submit a written request together with written copies of their submission to the Board Chair c/o the CEO two weeks prior to a scheduled meeting of the Board.
   a. Please note the request must clearly state what the deputation wishes to speak to.
   b. Complete details of the Deputation, and any questions for the Board, must be submitted in writing to the CEO, who acts as the Board Secretary. All materials will be circulated to the Board and relevant staff prior to the presentation to aid in a productive dialogue.
   c. If the deputant is unable to put in the request two weeks prior to the Board meeting, the Board Chair may waive this requirement.
2. Any person who has presented information on the same topic at previous meetings shall be limited to providing only new information in their subsequent presentations.
3. Each deputation shall be limited to a maximum of ten (10) minutes to make a presentation unless otherwise determined by the Board Chair.
